General Swap Requirements: Each swapper will send at least one package containing items in your partner's favorite color(s). *Minimum* package value must be at least $25, not including the price of postage. Items for this swap do not have to be crochet or fiber related, but all should fit the color theme(s) of your partners’ choosing. This is an exchange where getting to know your partner is very important!! The biggest part of having a fun exchange for both people involved is good communication. Email your partner at least once a week. Read their survey and ask questions. This swap is all about taking the time to combine your partner's favorite color(s) with items that they will love! It's like sending a big hug through the mail! Important Dates: Sign Ups: February 20 – February 28, 2014 at 8 p.m. EST Partners Assigned: March 1, 2014 by 5 p.m. EST Swap Dates: March 1 – April 16, 2014 Mailing Deadline: April 9, 2014 REMEMBER: Crochetville admin limits Villagers to *TWO* swaps at one time. If you are already signed up for two swaps, one must be completed before this swap starts for you to be eligible to swap. See the Swap Guidelines. A swap will count as completed if you have mailed your final package and delivery confirmation information shows your package has been received OR your swap partner has posted a thank-you in the swap thread. GUIDELINES Here are the rules. Please read them thoroughly and completely before signing up. 1. Please submit a survey (See 2nd post for Survey information) if you want to participate in this swap. Surveys should be emailed to the swap coordinator, tiffer93, at this email address: tiffer93 (AT) gmail (DOT) com. I will send you a confirmation email when I receive your survey, and your name will be added to the list of swappers posted below. Surveys can be submitted until: February 28, 2014 at 8 p.m.(EST). 2. It is not required that you answer all the questions on the survey (except for name, address, and C'ville nickname), but it is a good way for your partner to know your other preferences, favorite color, favorite genre of books, allergies, etc. 3. Partner assignments will be e-mailed to you by: March 1, 2014 at 5 p.m. Packages must be POSTMARKED by: April 9, 2014. Delivery Confirmation is required whenever it is available (all domestic packages), and the delivery confirmation number MUST be emailed to the swap coordinator. Please email the swap coordinator, tiffer93 (AT) gmail (DOT) com, when you receive your exchange partner's information so that I know you received it. All packages must be received by the end of the swap on: April 16, 2014. 4. By submitting a survey, you agree to follow the Swap Guidelines, as well as the General Forum Guidelines. **Please note — there is a new requirement for digital patterns** 5. E-mail the swap coordinator, tiffer93, at this email address: tiffer93 (AT) gmail (DOT) com, when you receive your partner information at the start of the swap, and when you send and receive your exchange item(s) so that I can record who has sent and received. 6. Please thank your partner for their thoughtfulness when you receive your swap package. It will make their day. A thank you MUST be posted on the swap thread, but you can post links to your blog for photos, etc., if you choose. A thank you is REQUIRED!! Please also thank your partner personally with a private email, as well as a post to the swap thread. The private thank-you lets your partner know that their package has been received, and the public thank-you lets the other swappers know what you received and adds to everyone’s enjoyment of the exchange. Both public and private thank-you’s are required. 7. Make sure your postage and receiver's address are correct before mailing. Mark your package with "Crochetville Favorite Color Swap". Do not forget delivery confirmation is required whenever it is available, and the delivery confirmation must be emailed to the swap coordinator. This is not only proof of mailing, but enables you to trace the package if it is lost in the mail. 8. If you have a problem with your partner or an item you receive, please DO NOT post complaints to the swap thread. Please PM or email the swap coordinator privately. 9. If your package is not postmarked by the POSTMARK BY date of April 9, 2014, you will be subject to the consequences listed in the Swap Guidelines. Please contact the swap coordinator BEFORE the mailing deadline passes if there is a problem. 10. Since we are an international group, everyone is more than welcome to participate. That means that your exchange partner may live across the world and packages may take longer to arrive and cost more to ship. Keep this in mind when mailing items. 11. Most importantly, have fun!     Crochetville Swap Guidelines 2012 Please read these guidelines thoroughly before participating in any swap on Crochetville. If you do not uphold your swap commitments, your swap privileges may be revoked or you may receive negative points that will count towards your swap privileges being reviewed and possibly revoked. You will need to read this entire post for details. -------------- Before joining a swap, read through these entire general Crochetville Swap Guidelines, the Copyright/Trademark Guidelines for Swaps and RAOKs, and the specific requirements and deadlines for the individual swap you want to join. And keep in mind: Swaps are about giving first; receiving is secondary. Swaps are fun, but take your commitment seriously. Swapping is a privilege. By joining a swap, you agree to abide by all of these Crochetville Swap Guidelines, as well as the guidelines, instructions, requirements, and deadlines of the specific swap you are joining. Part 1: Swapping What is a Crochetville swap? Who is eligible to participate in a swap? How many swaps may I join at one time? How do I join a swap? How private is my information? Does each swap have its own additional guidelines? Do I have to verify receiving my partner assignment/survey? What mailing deadline do I have to meet? Questions After reading these guidelines, if you have any questions, please contact the Swap Hostess for the swap in which you are interested or contact us. -------------- Part 1: Swapping What is a Crochetville swap? A Crochetville swap is an organized exchange of gifts between partners. Many of our swaps are for handmade crochet items, while some are for store-bought items (such as yarn, for example). Each swap will specify the type of items to be exchanged. We have swaps for various types of items throughout the year. If you join a swap, you'll put together and mail a package based on the swap theme and your partner's preferences, and your partner will do the same for you. Swaps are about giving. Swaps are about sending a personalized, thoughtful present to your partner. Swaps are about making someone else happy. You'll also receive a swap package put together by your partner with just you in mind -- but "getting stuff" is not the goal. The spirit of swapping is to share your love of crochet with another person who also loves crochet. Swaps are a good way to get to know other Crochetville members better. Swappers are encouraged to post messages in the swap thread so all swap participants can get to know each other better. Swappers may also want to use PMs or email to get to know their swap partner better. Who is eligible to participate in a swap? You may participate in a swap if you meet ALL of the following criteria: You are at least 18 years old. You have achieved Villager membership level at Crochetville (which means you have been a member for 30 days and made at least 30 posts). You are not currently active in the maximum number of swaps (two). You have not had your swap privileges or other Crochetville participation privileges revoked. How many swaps may I join at one time? You may participate in a maximum of two Crochetville swaps at the same time. For the purposes of swap sign-up, a swap will no longer be counted as active (meaning you are eligible to sign up for another swap) when (1) delivery confirmation shows your partner has received your package or (2) your partner has posted a thank-you for your package in the swap thread, whichever comes first. The reason for our two-swap limit is that it is easy to get caught up in the fun of swaps and over-commit yourself. This can result in stress for you and possibly disappointment for your partners (and extra work for Swap Hostesses) if you are unable to fulfill multiple swap commitments at the same time. How do I join a swap? First, carefully read through the entire Crochetville Swap Guidelines (that's what you're reading now) and the Copyright/Trademark Guidelines for Swaps and RAOKs. Second, find a swap that interests you (see our 2012 Swap Schedule) and carefully read through all of the instructions, requirements, and deadlines for that particular swap. If you have any questions at all, contact the Swap Hostess by their preferred method (PM/Private Message or email) as listed in swap instructions for the swap you are interested in joining. Be sure that you are comfortable with and able to comply with all the requirements and deadlines for a swap before you sign up. Be sure to consider whether this is a good time for you to swap. Does the swap schedule fit with your schedule? Check your calendar! Don't forget to think about travel and other commitments (including financial) that might interfere with being a good swapper. Swaps will include a signup questionnaire in the second post in the swap thread. To join a swap, copy the entire questionnaire for that swap, fill it out completely, and send it to the Swap Hostess. After sending the message, also post in the swap thread, saying that you are joining the swap. After the signup period has ended, you will receive your partner assignment from your Swap Hostess. How private is my information? Your privacy is always very important to us at Crochetville. The information you submit for a swap is never used nor shared for any purpose other than the swap you are joining. The information you provide to your Swap Hostess on your swap survey is provided to your assigned swap partner(s). This information may also be provided to the Swap Coordinator and Crochetville Administrators (AmyS and Donna) for the purposes of swap coordination only. If necessary, and with your prior permission, survey information may also be provided to a Swap Angel sending an Angel Package (that is, a Crochetville member sending a replacement for a swap package not received). Indicating in your swap questionnaire that you would like a gift certificate, a digital pattern through Ravelry, or something similar (may not apply to most swaps) is your agreement that your swap partner may divulge limited information (name, email address, mailing address) to a third party in order to obtain the requested item for you. Does each swap have its own additional guidelines? Yes, each swap will have its own specific guidelines for the items to be sent during the swap (minimum or maximum dollar value, specific type of yarn, whether extras can be included, etc.). Swappers are responsible for carefully reading the swap instructions and following all swap-specific guidelines. If you have any questions about whether what you want to send meets the swap guidelines, contact your Swap Hostess. Requirement: [The items you send must meet at least the minimum requirements of the swap.] See Part 2: Swap Problems for consequences of not meeting this requirement. Do I have to verify receiving my partner assignment/survey? Requirement: [Within one week of receiving your partner assignment/survey from your Swap Hostess, post in the swap thread saying that you have received your partner.] See Part 2: Swap Problems for consequences of not meeting this requirement. Please also contact your Swap Hostess to say you have received your partner assignment/survey. Swap threads often get busy, so it makes a Swap Hostess' work easier not to have to sift through posts to verify who has received their partner assignment. What mailing deadline do I have to meet? Requirement: [Mail your swap package by the POSTMARK-BY deadline given in your swap.] See Part 2: Swap Problems for consequences of not meeting this requirement. Note that when mailing, you will need to get a delivery confirmation number or other proof of mailing. See the next question below for details. Do I have to get proof of mailing and send it to my Swap Hostess? Requirement: [When mailing your swap package, get a delivery confirmation (DC) number or other proof of mailing AND, within one week of mailing, send your DC or other proof of mailing to your Swap Hostess. If you are unable to obtain proof of mailing, still contact your Swap Hostess to say you have mailed but could not get proof of mailing.] See Part 2: Swap Problems for consequences of not meeting this requirement. If you are shipping outside the United States (to or from), get a dated customs form or a dated receipt (that shows the weight of your package and the recipient's zip code). For some types of packages or in some locations, proof of mailing may not be available from your postal service. In the event your postal service cannot provide you with some sort of proof of mailing, let your Swap Hostess know. If your package becomes lost and you are not able to provide us with proof of shipment, you will be required to send a replacement package to your partner. Do I have to acknowledge receiving my package? Requirement: [Within one week of receiving your swap package from your swap partner, post a thank you to your partner in the swap thread.] See Part 2: Swap Problems for consequences of not meeting this requirement. Please also contact your Swap Hostess to say you have received your swap package from your partner. Swap threads often get busy, so it makes a Swap Hostess' work easier not to have to sift through posts to verify who has received their packages. Do not put off posting a thank you simply because you have not taken a photo of the swap items you received. While we all love seeing photos, it's easy for time to slip away. If you've taken a photo right away, great! If not, that's fine, too. It's more important to get your thank-you posted. You can post again later to show photos. How important is prompt communication during a swap? It is very important to communicate promptly with your Swap Hostess. If you know you will be unavailable/unable to respond to email during certain days of the swap, please notify the Swap Hostess and your partner in advance. It's a good idea to check email and Crochetville PMs daily during the term of a swap. Requirement: [You are expected to respond promptly to swap-related messages (PM/Private Message or email) from your Swap Hostess or Crochetville Administrators.] See Part 2: Swap Problems below for consequences of poor communication. There are no requirements to communicate with your swap partner outside of the swap thread, although you are welcome to use PMs and email to get to know each other better. Not everyone is a chatty swapper, but it is considerate (and makes the swap more fun!) to contact your partner occasionally to say hello and let them know you are working on their swap package, especially if you will be mailing towards the end of the swap. Hearing from a swap partner can make someone's day! Please remember that it would be very rude and discourteous not to respond promptly to a partner's emails. Yes, swapping on Crochetville is a privilege. If this privilege is abused, it may be revoked under certain circumstances as described below. What should I do if I think I am going to miss my swap postmark-by deadline? If, for any reason, at any time, you realize you are unable to fulfill your swap commitment by the swap deadline, it is crucial that you contact your Swap Hostess as soon as possible. Do not wait until the swap deadline. If you contact your Swap Hostess prior to the swap deadline, we will discuss with you and work with you to avoid having your swap privileges revoked. What should I do if I realize I've gotten in over my head and can't complete my swap item in time? If, for any reason, at any time, you realize you are unable able to fulfill your swap commitment by the swap deadline, it is crucial that you contact your Swap Hostess as soon as possible. Do not wait until the swap deadline. If you contact your Swap Hostess prior to the swap deadline, we will discuss with you and work with you to avoid having your swap privileges revoked. What actions could cause me to have my swap privileges revoked? While swapping is fun, it is a commitment that you are expected to take seriously. If your swap privileges are revoked, you will no longer be able to participate in swaps at Crochetville. To avoid this unfortunate circumstance, contact your Swap Hostess as soon as possible if you find out you will be unable to meet any swap obligation. If you contact your Swap Hostess prior to the swap deadline, we will discuss with you and work with you to avoid having your swap privileges revoked. Your Crochetville swap privileges will be revoked if any of the following occurs: You send anything to your partner that violates Crochetville's copyright and/or trademark guidelines. You did not ship a package to your partner by one week after the POSTMARK-BY deadline. You sent a package, but the items in the package did not meet at least the minimum requirements of the swap. We realize that in rare cases, there really are extenuating circumstances that mean a member should not have their swap privileges revoked. You will always have the opportunity to inform your Swap Hostess and Crochetville Administrators (AmyS and Donna) of such circumstances. A decision to grant an exception will be made on a case-by-case basis at the sole discretion of AmyS and Donna. Your swap history will be reviewed for possible revocation of swap privileges if the following occurs: You have earned ten (10) or more negative points in your swap history. In this circumstance, Crochetville Administrators (AmyS and Donna) will review your swap history to determine whether you should be eligible to participate in future swaps. Decisions will be made on a case-by-case basis depending on the frequency and severity of the problems; your input will be taken into consideration. All decisions will be final. What actions could cause me to earn negative points? While all swap guidelines are important, some cause a lesser level of disappointment for your partner or aggravation for your Swap Hostess. In the past, keeping track of swap problems has been cumbersome and time-consuming. Therefore, our Swap Hostesses are now using a point system to keep track of swap guidelines that are not met. If any of the following problems occur, you will receive negative points as indicated: You did not post in the swap thread saying that you have received your partner within one week of receiving partner assignment from your Swap Hostess. -1 POINT You did not mail package by POSTMARK-BY deadline, but you sent package within one week after the deadline. -1 POINT You did not send your delivery confirmation number or something equivalent to your Swap Hostess within one week after sending package. -1 POINT You did not post a thank you to your partner in the swap thread within one week after receiving package. -1 POINT Poor communication with your Swap Hostess during resolution of swap problems. This is determined at the discretion of your Swap Hostess. -1 POINT Other actions not included in this list, that cause disappointment/hurt to your swap partner or aggravation to your Swap Hostess may be assigned a point, at the sole discretion of AmyS and Donna. We anticipate this would happen only in very rare extenuating circumstances. -1 POINT Negative points will be given by Swap Hostesses using the forum's built-in reputation system. A brief explanatory comment will accompany each negative point. These comments are visible only to yourself (in your User CP) and to Crochetville Administrators (AmyS and Donna). Information about these comments may be made available to Swap Hostesses and/or the Swap Coordinator if necessary. As part of the forum's built-in reputation system, every member of Crochetville will have a very small but publicly viewable gray reputation icon on their posts, PMs, and user profile. The icon image/graphic will look exactly the same and be the same color for everyone. Hovering over the icon will reveal a small line of text. For those who have not swapped or who have not had swap problems, the line of text will read, "[username] is a Crochetville member." For those who have received negative points, the line of text will read, "[username] is at Swap Level 1" (or Swap Level 2, 3, etc.). Swap Level increases with each negative point received. Once a member has reached Swap Level 10 (that is, has received ten (10) negative points), the Swap Hostess will notify Crochetville Administrators (AmyS and Donna), who will review the swapper's history to determine whether the swapper should be eligible to participate in future swaps. Decisions will be made on a case-by-case basis depending on the frequency and severity of the problems; input from the swapper will be taken into consideration.     March Square Swap

    Welcome to the March Square Swap of 2013, Crochetville's 9-month long celebration of crocheted square love! General Swap Requirements: Each swapper is required to send **ONLY** one Aran or Irish square (size as specified by your partner). Swap Dates: This swap starts 1 March 2013 and ends 31 March 2013. All packages must be received by the ending date, so the mailing deadline for this exchange is 25 March 2013. All packages MUST be in the mail by 31 March 2013 (mailing deadline). Remember: Crochetville admin limits Villagers to two swaps at one time. If you are already signed up for two swaps, one must be completed before the March Square Swap starts for you to be eligible to swap. See the Swap Guidelines. A swap will count as completed if you have mailed your final package and delivery confirmation information shows your package has been received OR your swap partner has posted a thank-you in the swap thread. Failure to do so will result in the accumulation of reputation points. 6. Please thank your partner for their thoughtfulness when you receive your package.   4. General Swap Requirements: Each swapper is required to send one amigurumi to their partner. Extras are allowed, but not required. Important Dates: Sign Ups: Thursday, February 18, 2011 – Sunday, February 27, 2011. Closes at 5 pm EST. Partners Assigned: Partners will be assigned by February 28, 2011 at 11:59 PM EST. Swap Dates: March 1, 2011 – March 30, 2011 Mailing Deadline: Thursday, March 23, 2011 Swap Dates: This swap starts March 1, 2011 and ends March 30, 2011. All packages must be received by the ending date, so the mailing deadline for this exchange is Thursday, March 23, 2011. All packages MUST be in the mail by Thursday, March 23, 2011 (mailing deadline). Remember: Crochetville admin limits Villagers to two swaps at a time. If you are already signed up for two swaps, one must be completed before the Amigurumi Swap starts for you to be eligible to swap. A swap will count as completed if you have mailed your final package and delivery confirmation information shows your package has been received OR your swap partner has posted a thank-you in the swap thread. GUIDELINES: Here are the rules. Please read them thoroughly before signing up. 1. Please submit a survey if you want to participate in this exchange. (See second post for Survey information.) Surveys should be emailed to the swap coordinator (npatrick1 AT indy DOT rr DOT com). Please do not submit a swap survey via PM. You will receive a confirmation email when your survey is received, and your username will be added to the list of swappers posted below. Surveys can be submitted until Monday, February 27, 2011 at 5 PM EST. Partners will be assigned by February 28, 2011 at 11:59 PM EST. 2. It is not required that you answer all the questions on the survey (except for name, address, and Crochetville nickname, etc.), but it is a good way for your partner to know your other preferences: favorite color, favorite genre of books, allergies, etc. 3. E-mail the coordinator, npatrick1 AT indy DOT rr DOT com, when you receive your partner information at the start of the swap, and when you send and receive your exchange item(s) so that she can keep record of who sent and received. Do not PM her through Crochetville. This is in addition to posting to the swap thread that you mailed or received your assigned partner and your packages. Lots of messages are posted to the swap thread daily. Please don’t make the swap coordinator go through all those messages to see if you sent/received your package!!! Remember, these emails are now required of all Crochetville swappers. Failure to do so will result in the accumulation of reputation points. 4. By submitting a swap survey, you agree to follow all Swap Guidelines and general forum guidelines. 5. Packages must be POSTMARKED BY March 23, 2011. **Proof of shipping is required whenever it is available (see Swap Guidelines for details), and the delivery confirmation number must be emailed to the swap coordinator.** All packages should be received by the end of the swap on March 30, 2011. 6. Please thank your partner for their thoughtfulness when you receive your package. It will make his or her day. **Thank-yous MUST be posted on the swap thread, but you can post links to your blog for photos, etc., if you choose. Thank-yous are REQUIRED!!**Please also thank your partner personally with a private email, as well as a post to the swap thread. The private thank-you lets your partner know that their package has been received, and the public thank-you lets the other swappers know what you received and adds to everyone’s enjoyment of the exchange. Both public and private thank-yous are required. 7. Make sure your postage and receiver's address are correct before mailing. Mark your package with Amigurumi Swap. Do not forget that delivery confirmation (or other proof of shipping) is required whenever it is available, and the delivery confirmation must be emailed to the swap coordinator. This provides proof of mailing in case your package is lost during transit. 8. If you have a problem with your partner or an item you receive, please DO NOT post complaints to the swap board. Please PM or email the swap coordinator privately. 9. Since we are an international group, everyone is more than welcome to participate. That means that your exchange partner may live across the world and packages may take longer to arrive and cost more to ship. Keep this in mind when mailing items. 10. Most importantly, have fun!
